Currently we are hiring an Administrative Assistant for our Cambridge office of 25 employees in Kendall Square. Accountabilities

 In this role you would be expected to:

  • Provide general administrative support to the team of consultants
  • Assist the Director of Operations with key administrative processes in a wide range of areas (e.g., operations, HR, basic accounting, travel)
  • Prioritize multiple tasks while accepting new responsibilities 
  • Support recruiting process: assist with coordination of recruiting events and informational sessions, schedule interviews and communicate with candidates
  • Assist with new hire orientation and onboarding process 
  • Maintain contact with the payroll company, track payroll on a monthly basis
  • Assist with biannual performance review process 
  • Create and maintain personnel files 
  • Resolve various operational issues (phones, office equipment, furniture upgrades)
  • Maintain appropriate inventory levels within assigned areas
  • Coordinate ongoing relationships with external vendors and building management
  • Participate in marketing initiatives by assisting with website, email campaigns, and CRM maintenance 
  • Coordinate occasional flights, hotels and other travel arrangements for a team of consultants
  • Stay in touch with travel agents and maintain contact with clients’ administrative staff
  • Plan company events such as holiday parties and the annual retreat Basic accounting
  • Closely work with the accountants on expense reimbursement, payments to vendors, outgoing invoices.

 

Experience, skills and professional attributes

To succeed in this role you must have:

  • A bachelor degree
  • Some experience as an Administration role in an international environment (preferred)
  • Excellent customer service attitude
  • Experience performing well under pressure, take initiative, and handle multiple tasks at the same time 
  • Strong interpersonal skills, proactive approach, and team player
  • Consistent, dependable and accurate in completing responsibilities/tasks
