    The legal and company secretarial department of The Economist Group gives legal, corporate and company secretarial support and counsel to The Economist Group worldwide. It helps the Group in its execution of its commercial and corporate strategy, in the protection of its intellectual property rights, and in minimising its exposure to legal risk.

     

    We are seeking a Contracts & Business Operations Manager to review and process select contracts for The Economist Group’s various businesses operating in the Americas (North, Central and South), including (but not limited to) Economist Events, Content Solutions, Economist Careers and The Economist Intelligence Unit subscriptions and consulting businesses.

     

    Accountabilities

    How you will contribute: 

    • Review select contracts for accuracy, completeness and risk (amend accordingly) and work with salespeople and other relevant stakeholders in this process.
    • Check The Economist Group’s CRM system (Salesforce) to ensure that relevant contract fields have been completed correctly and that ancillary pricing approvals, and other required documents, have been included
    • Ensure that the correct contract template has been completed / populated correctly from the CRM system
    • Identify if a contract addendum / amendment may be required in the context of automatically renewing contracts
    • Respond to client purchase orders (POs) if received after a contract has been signed to ensure that the (PO) does not supersede the contract in place
    • Manage the database of client and supplier contracts
    • Provide contract reporting (or other associated sales reports) when requested / required
    • Ensure that The Economist Group’s contract policies and processes are being followed; reinforce and communicate those policies and processes to relevant stakeholders in a diplomatic but clear and concise manner
    • Accurately and expediently process signed contracts checking to ensure that all information required for invoicing has been provided in the contract or in the CRM system (e.g. required purchase order numbers are provided, special invoicing instructions are reflected, commission splits are accurate and products and pricing are correctly identified)
    • Work closely with finance, billing and other relevant departments to ensure that relevant PeopleSoft codes for each sale are established 
    • Disseminate relevant codes and contracts to the applicable teams (e.g. Sales, Editorial, and Finance)
    • Initiate and manage the Invoice process for group sales (coordinating with Sales, Finance, Billing, etc.) when applicable
    • Work with sales teams to complete documents required to respond to tenders / rfps and other relevant matters as may be determined by manager
    • Perform other operational support functions including (but not limited to):  
      • commercial insurance
      • delegated authorities / corporate governance documents
      • signatory authority lists and forms
      • training materials / presentations / salesperson training 
      • process binders
    • Manage the orderly and accurate filling of all contracts and associated documents within designated databases and retrieve such contracts and documents when requested by stakeholders
    • Manage the timely and accurate production and updating of applicable contract reports and providing such reports to stakeholders
    • Provide clear and concise business operation process training to sales and other relevant personnel and develop applicable training materials, while reinforcing proper procedure / processes on an ongoing basis
    • Create and improve efficiencies in order processing and contract management, and provide process recommendations to managers and other relevant stakeholders
    • Provide back-up support to business operations personnel in other regions
    • Oversee the completion of The Economist Group sale / invoice forms and disseminate such forms to relevant stakeholders to obtain requisite verifications and approvals to invoice the sale accurately
    • Manage risks (brand, financial, and legal); ability to effectively and diplomatically communicate

    Experience, skills and professional attributes

    The ideal skills for this role are:

    • A degree in law          
    • Experience in contracts administration and negotiating the terms of select contracts
    • Experience working with sales teams
    • Familiarity and comfort reviewing and understanding common commercial contracts
    • Strong Excel, Word, and PowerPoint skills
    • Good project management skills
    • Prior experience with Salesforce or other CRM (customer relationship management) systems
    • Fluency in English
    • Attention to detail; good communication skills; self-motivated problem-solver; collaborative team player
